Chief of Staff – Vested World

Job Details

Vested World is seeking to hire a high-performing Chief of Staff to work closely with our investment team, reporting directly to the Managing Directors. From day one, the Chief of Staff will have an immediate impact on our productivity by streamlining strategic initiatives, designing and improving on our internal systems, managing in-house operations, and communicating objectives.

The ideal candidate will have proven experience in a business management or operations role, with a special focus on executive-level advising and collaboration. Importantly, you must gain energy by organizing, coordinating, and checking-in on the progress of our team toward our overarching goals, and won’t be afraid to object when we aren’t living up to our commitments to each other. You should be familiar with the Objectives and Key Results system for managing these commitments (or similar), have strong project management skills, a sharp attention to detail, and, lastly, should be comfortable working in a small team and taking on special projects across a range of business dimensions (such as operations, human resources, marketing, etc.). You will need to be capable in the realm of accounting, tax, audit and reporting, though you need not be an expert as you will be supported by a capable team of service providers.

  1. Team and Project Coordination (40%)
  • Lead cross-company administrative workstreams, such as routine cross-company meetings, and business strategy, planning, and reviews Orchestrate day-to-day operations and ensure tracking of and alignment to success metrics across the company

Ensure standardized operations that are well documented, accurate, well reported on and continuously discussed for improvement Address bottlenecks by improving processes and coordinating adjustments to organizational procedures for optimized efficiency and productivity

    • Oversee special projects (e.g., strategic business initiatives) from development through successful execution under the guidance of senior leadership and other stakeholders

o Planning, coordinating and keeping minutes & action items for internal meetings

  1. Administrative and Finance / Accounting / Treasury/LP Communications Support (40%)
    • Be the key point of contact for fund administration, acting as their liaison to ensure smooth operations of accounting, treasury management, and Limited Partner communications
    • Be the key point of contact for Vested World’s tax and audit providers, assisting them in completing all requests in a timely and comprehensive manner (with support)
    • Ensure proper legal compliance and risk mitigations within the company (including insurance, internal risk & administrative policies) (with support)
    • Be the key point of contact for routine Limited Partner communications
    • Coordinate and lead the process for quarterly and annual reporting
    • Coordinate group travel, group events, reservations & etc. for major company outings and stakeholder meetings (e.g., annual LP meeting, company offsite)
    • Manage the company’s technology “stack,” and suggest new technologies to improve the efficiency and coordination of our team
  1. Organizational Health (20%):
    • Organize team-building offsite for senior leadership team and across the company
    • Assist with for employee onboarding process and documentation
    • Support MDs in strengthening the cohesiveness and culture within the company
    • Determining key performance indicators and how to measure team performance
    • Work with leadership team to develop Professional Development Program; create a vision of what great looks like for this program
    • Serve as liaison between staff and leadership team, regarding company climate, employee well-being, project updates, proposals, and planning
    • Conduct organizational health surveys on a periodic basis and suggest initiatives for improvement


1. Experience:

  • Bachelor’s degree in Business Administration, Accounting, Business Operations
    or similar field
  • Minimum 4-7 years of total work experience, with at least 2-3 years in an operations, Office Manager, Chief of Staff, or similar role
  • Proven experience leading or organizing multiple teams
  • Consulting experience preferred, with a focus on operations management

2. Skills:

  • Excellent communications skills and attention to detail
  • Ability to form strong, trusting relationships with team members
  • Extremely versatile, dedicated to time management and efficient productivity
  • Experience planning and leading strategic initiatives
  • Experience with data analysis
  • Experience with managing budgets, accounting, tax, audit and treasury functions
  • Proven success in a project coordination role
  • Nimble business mind with a focus on developing creative solutions
  • Strong project reporting skills

3. Attitude:

  • Positive, open-minded team player who has loads of energy, and relishes a fast-paced and demanding environment
  • Proactive self-starter with strong organizational and time management skills
  • Strong problem-solving approach
  • High-degree of willingness to challenge the status quo, especially when deadlines are missed, projects are off track, etc.
  • Take-charge attitude and demonstrates ownership of key workstreams
